The Opportunity

As the Project Coordinator, you will have primary responsibilities to support with purchasing, inventory management, documentation and shipping.

The Team

Reporting directly to the Senior Project Engineer, you will work with the Administration team to help keep all the projects on track by providing the support required.

 

Responsibilities

Purchasing

  • Interact with suppliers (telephone and email) including sourcing materials and components and obtain quotations.
  • Generate purchase orders, get approvals and issue to vendors.
  • Track and receive purchase confirmations.

Inventory

  • Manage parts deliveries and ensure on time arrival of all parts.
  • Verify part & delivery accuracy.

Documentation

  • Create project binders.
  • Prepare outgoing mail (envelopes, packages, etc.)
  • Assist in developing company policies and procedures.
  • Maintain files and records so they remain updated and easily accessible.
  • Perform other office duties as assigned.

Shipping

  • Create shipping labels for part shipments to customer.
  • Track and manage returned parts.
  • Fill out customs documents and work with logistics for US shipments.
  • Analysis, design and implementation of new processes.
  • Participate in process improvements and cost savings initiatives.
  • Research codes and regulations applicable to a project.
  • Develop technical reports on recommendations to improve new processes, feasibility studies and energy savings initiatives.

Qualifications

  • High school diploma. 
  • Proven experience as an office clerk or other clerical position. 
  • Well organized, self-motivated, and capable of working in a fast-paced environment.
  • Proficiency with MS Word and Excel. 
  • Excellent verbal and written communication skills.
  • Valid driver’s license to complete infrequent trips to suppliers as required.
